When organizing a Secret Santa gift exchange one of the most important steps is figuring out who wants to join the fun. Whether you are doing a gift exchange at the office or with family and friends a secret Santa sign up sheet is the easiest way to figure out who would like to participate.
This is why I have created and am sharing with you a free printable gift exchange sign up form as well as matching name cards for drawing names.

What is Secret Santa
A secret Santa is a gift exchange in which everyone is given a name at random. The person’s name you are given is who you buy a gift for.
The recipient of the gift is unaware of who the sender is. After opening the gift, the recipient guesses who gave them the gift.
A Secret Santa gift exchange can be done with extended family, a group of friends or even with coworkers.
How To Organize A Secret Santa Gift Exchange
The first step in organizing a secret Santa gift exchange is finding out who wants to participate. An easy way to do this is with a secret Santa sign up form.
At the bottom of this post you’ll find my free printable sign up template that you can download and print. Then, place it somewhere everyone will see.
Office Gift Exchange
If you are doing an office gift exchange you could pin it to a bulletin board or place it in the break room for a couple of weeks.
Make sure to include a deadline date to sign up if you plan to leave it somewhere for a period of time. This way everyone knows how long they have to decide if they want to join in on the fun.
Family/Friends Gift Exchange
If you are doing an extended family Christmas gift exchange try bringing the secret Santa sign up sheet to your family’s Thanksgiving gathering.
Then, either ask who would like to participate or just pass it around the table after your meal.
Gift Exchange Spending Limit
You’ll also want to set a price limit. I recommend including this on your secret Santa sign up sheet. That way, people can be aware of how much the gift exchange will be BEFORE signing up.
Drawing Names
After everyone has had a chance to sign up, transfer each name from the secret Santa sign up sheet to a piece of paper. You could also use my free matching name cards at the bottom of this post.
Cut out each name and place them in a bowl. Have everyone who signed up, draw a name. If they draw their own name, have them draw again.
The name that they draw is the person they will buy for.
Opening Secret Santa Gifts
Pick a day when everyone can get together and plan a gift exchange party. If you are doing it at the office you may want to do it a few weeks before Christmas. This is because a lot of people take days off over the holiday season.
If your group is unable to find a date that works just have the secret Santa’s be sneaky. Deliver them by hand when the recipient is away from their desk or not looking.
When wrapping the gifts make sure to only include the recipient’s name and not the secret Santa’s name. After everyone has opened their gifts have everyone guess who their secret Santa was.

The first page has a sign up with ONLY a deadline box to fill out. The second page has a deadline and a spending limit box. Choose the one you want to use and print it off.

They are so easy to fill out and they help take the stress out of gift giving. You can set a pile next to the sign up sheet for participants to fill out (trust me you will thank me for this).
